Policies & Procedures

  • 1.1 Philosophy
    Praticus Studios is a neuroaffirming, inclusive learning space. We respect each student’s unique learning profile, communication style, and pace. Our goal is to celebrate differences and remove barriers so every student can thrive.

    1.2 Instructional Adaptation
    Teachers adapt lesson methods (visual, auditory, kinesthetic, scripted, improvisational) to fit the student. Pacing, breaks, and task size are adjusted as needed.

    1.3 Sensory-Aware Approach
    We provide options such as lower-light spaces, noise-dampening tools, fidgets, and movement breaks. Students may signal when they need a reset.

    1.4 Collaborative Planning
    Families are invited to share successful strategies, access needs, and preferences during enrollment and throughout the year.

    1.5 Strength-Based Framing
    Feedback emphasizes growth, concrete next steps, and strengths. We avoid deficit language and “one-size-fits-all” expectations.

    1.6 Training & Team
    We prioritize hiring and developing neuroaffirming educators and provide ongoing professional learning on inclusive practice.

    1.7 Communication Supports
    We welcome AAC, visual schedules, checklists, timers, and written cues as part of lessons.

    1.8 Non-Discrimination
    We do not tolerate discrimination based on neurotype, disability, race, ethnicity, gender identity or expression, sexual orientation, religion, age, or family status.

    1.9 Privacy & Dignity
    Accommodations are offered discreetly. Students choose whether and how to discuss their needs.

  • 2.1 Registration
    Enrollment is confirmed when the registration form, policies acknowledgment, and first month’s tuition are completed.

    2.2 Access Needs Intake
    The form includes a brief access-needs section (sensory supports, communication preferences, medical alerts/allergies).

    2.3 Contact & Emergency Info
    Families provide at least one primary contact and an emergency contact.

    2.4 Updates
    Families agree to update contact and access-needs information if anything changes.


  • 3.1 Consistency
    Regular attendance supports progress. We schedule weekly 60-minute lessons unless otherwise agreed.

    3.2 Late Arrival
    If late, the lesson ends at the scheduled time to avoid impacting the next student. We still aim to deliver value in remaining time.

    3.3 Student-Initiated Cancellations
    Please notify us as early as possible. Make-ups are offered when feasible, with compassionate exceptions for illness or sensory overload.

    3.4 Studio/Teacher Cancellations
    If we must cancel, we will reschedule or credit the lesson.

    3.5 Holidays & Breaks
    Studio closures are published in advance. Monthly tuition is averaged over the year to account for closures.


  • 4.1 Welcome & Belonging
    Students are encouraged to bring fidgets, noise-reducers, or comfort items that support learning.

    4.2 Movement & Breaks
    Short movement or regulation breaks are available without penalty.

    4.3 Space & Noise
    We’ll offer quieter rooms or gradual exposure for noise-sensitive students when available.

    4.4 Health & Safety
    Please do not attend when ill with contagious symptoms. We maintain basic first-aid supplies on site.


  • 5.1 Tone & Approach
    We communicate with kindness, clarity, and respect. We model the Five Agreements (Kind Words, Don’t Take Things Personally, Ask/Don’t Assume, Do Your Best, Stay Open & Listen).

    5.2 Progress Updates
    Teachers share periodic updates. Families may request a brief check-in to align on goals.

    5.3 Concerns & Questions
    If concerns arise, contact the studio promptly so we can respond and adjust.


  • 6.1 Community Standards
    Kindness and respect are expected from students, families, and staff at all times.

    6.2 Anti-Bullying & Harassment
    Bullying, harassment, or discriminatory behavior is not tolerated.

    6.3 Boundaries
    Professional boundaries are maintained. Physical prompts (e.g., posture correction) occur only when necessary and with consent.

    6.4 Pick-Up/Drop-Off
    Guardians ensure timely and safe transitions. Please inform us if someone new is picking up a minor.


  • 7.1 Lesson Recording Purpose
    Praticus records lessons (audio/video) to track progress, enable reflection, and prepare audition/portfolio materials.

    7.2 Consent
    Recording consent is part of enrollment. Students/families may opt out of non-essential recording; essential safety/compliance notes may still be kept.

    7.3 Access & Sharing
    Recordings are shared only with the student/family and staff directly involved in instruction, unless explicit permission is granted.

    7.4 Storage & Retention
    Recordings are stored securely. Typical retention is up to 24 months, after which materials may be archived or deleted. Families may request deletion of non-essential materials.

    7.5 Marketing vs. Lesson Footage
    Lesson recordings are not used for marketing without separate, explicit media consent. Media consent may be granted or withdrawn at any time.

    7.6 Data Security
    We take reasonable steps to protect personal information and recordings, consistent with BC privacy expectations.

  • 8.1 Rate
    Tuition is CAD $300 per month for weekly 60-minute lessons. The fee is all-inclusive (recordings, audition prep, portfolio support).

    8.2 Billing
    Equal monthly payments cover the annual program (including planned closures). Autopay is processed on the 1st of each month.

    8.3 Cancellations
    Families may cancel enrollment with 30 days’ notice. Tuition already processed covers the notice period.

    8.4 Late/Failed Payments
    If a payment fails, we’ll notify you to update the method. Lessons may pause if accounts become significantly overdue.

    8.5 Annual Rate Review (New Students Only)
    Rates are reviewed yearly and apply only to new enrollments after the effective date. Continuously enrolled students keep their start rate (“rate-lock”).

  • 9.1 Make-Ups
    We offer make-ups where feasible. Compassionate exceptions apply for illness or dysregulation that prevents participation.

    9.2 Studio Closures
    Weather, emergencies, or instructor illness may require closure; we’ll reschedule or credit.

    9.3 Holidays
    Closures for statutory holidays and planned breaks are posted in advance and are already factored into averaged monthly tuition.


  • 10.1 Duty of Care
    We uphold a safe environment for minors and vulnerable persons and comply with applicable BC guidelines.

    10.2 Private Settings
    Doors remain open or windows unobstructed during one-to-one lessons with minors where feasible. Parents/guardians may observe when appropriate and non-disruptive.

    10.3 Reporting
    Concerns about safety are documented and escalated according to law and studio procedure.


  • 11.1 Studio Care
    Treat instruments, tech, and spaces with care. Report damage or hazards immediately.

    11.2 Personal Property
    We are not responsible for lost or stolen items. Please label personal belongings.

    11.3 Tech Use
    Studio tech (mics, cameras, lighting) is used under staff guidance only.


  • 12.1 Open Door
    We welcome feedback to improve the student experience.

    12.2 Process
    Step 1: Speak with the instructor.
    Step 2: If unresolved, contact the studio lead in writing.
    Step 3: We’ll respond with a plan and timeline to address the issue.

    12.3 Respectful Dialogue
    We aim for solutions that honor student well-being, family needs, and instructional integrity.

  • 13.1 Separate Consent
    Marketing photos/videos require a separate signed consent. Consent can be limited (e.g., “social only,” “first name only”) or declined with no impact on participation.


  • 14.1 Updates
    Policies may be updated to reflect best practice, safety, and compliance. We will publish changes and effective dates.

    14.2 Acknowledgment
    Enrollment confirms that families have read, understood, and agree to these policies.

    • Neuroaffirming: An approach that validates diverse neurotypes and adapts environments and teaching to support them.

    • Lesson Recording: Audio/video capture of instruction for progress and learning support; distinct from marketing media.

    • Rate-Lock: The tuition rate a continuously enrolled student keeps from their start date.
